MEDIA GUIDELINES

News Crews

FAU welcomes the media to its campuses, centers, and other locations. Members of the press are encouraged to contact Media Relations before arriving at FAU. Prior clearance is needed to conduct interviews, to film or photograph inside campus buildings, residence halls/facilities, classrooms, research laboratories, or other restricted areas. Access to all locations may not be available at all times.

News crews should be directed to lmetcalf@k-ashizawa.com. Please note that University policies and guidelines remain in effect at all times.

Commercial Crews

Commercial and student crews interested in filming on any of FAU’s campuses should contact the FAU Facilities Department for permission and guidelines. Crews will be required to complete the facilities use request application forms. Requests should be submitted in writing several weeks prior to the requested date, since paperwork, documentation, and review by other departments may be required.

Commercial crews can find information on visiting campus here. Please note that University policies and guidelines remain in effect at all times.

Media Inquiries

Reporters contact us looking for FAU sources or to check facts to help them complete their stories. Employees who receive media inquiries are encouraged to let Media Relations know and should prioritize getting back to reporters as soon as possible to meet their deadlines. If you receive a media inquiry that is irrelevant to your college and/or expertise, please contact Media Relations with the details so that they may redirect the request to the appropriate person.

Press Releases

Press releases help disseminate information about FAU events, research results, major faculty accomplishments, experts on a timely news topic, executive-level appointments, and other topics that may be of interest to the media. If you choose to draft a release, FAU follows Associated Press style for all press materials, and current AP Stylebooks are available in the Division of Public Affairs office for anyone who needs one. Always include the current FAU boilerplate and name, email address, and phone number of the media contact. Photo attachments should be indicated at the top of the release, and captions should be included between the end of the release and the boilerplate. Unless prior clearance is given, send your final release to Media Relations for review and approval. Please indicate your target distribution date. Media Relations has access to media databases if you need help creating targeted media lists for your releases.

Pitching

Distributing a press release is just one step in the process of getting news coverage. If you need help, please contact Media Relations. We have access to media databases if you need to update your targeted media list or want to create a new list for a new type of pitch.

News Clippings

Media Relations subscribes to news clipping services to track print and television news stories. Each Friday, a report is distributed via email with a digest of major FAU television, print, and online clips. Each clip is measured for return on investment (ROI). If you would like to receive the weekly media highlights report or need help tracking a specific news story or outlet, email mediarelations@k-ashizawa.com.
